Employment TAC seeks to appoint a District Office Administrator, based in Khayelitsha, Cape Town.
S/he will engage in monitoring, advocacy and campaigning within the health system to ensure that every person with HIV has access to quality comprehensive prevention, treatment, care and support services to live a healthy life.
S/he will provide comprehensive administrative support to the Managers, staff, members, volunteers and visitors to the office.
Responsibilities:
- Ensure efficient and secure filing system, which is easy to find and file documents including bills, invoices, TAC documents, photocopying and correspondence;
- Handling incoming faxes and telephone calls and forward these to the relevant people as soon as possible;
- Ensure maintenance of office equipment;
- Keep the diary for the District Manager and Coordinator;
- Support and assist Volunteers when they are in and out of the office;
- Organise meetings, such as workshops and district meetings;
- Take minutes at meetings and distribute on time;
- Download emails for office staff and relevant volunteers;
- Provide assistance to the District staff when organising marches, pickets, protest, treatment literacy workshops and other activities;
- Handle office petty cash and ensure all financial documents are filed in correctly;
- Monitor bills and ensure they are paid on time;
- Ensure all paid invoices and bills are photocopied;
- Ensure the IT network in the office is up and running, liaise with IT coordinator;
- Make logistical arrangements for the staff members;
- On a by-annual, basis assist in taking an inventory of all equipment and furniture in the office. This includes procuring and paying of services rendered for catering, transport, accommodation and venues;
- Ensure up-to-date, neatly filed and organised verification documents of all work done within the districts office.
- Relevant tertiary qualification;
- Minimum of two years office administration experience;
- Experience in bookkeeping;
- Knowledge of appropriate responses to the HIV/AIDS and TB epidemics;
- Computer literacy in Microsoft Office especially Excel;
- Fluency in English and at least one indigenous South African language;
- Ability to handle multiple tasks simultaneously, set priorities and work independently as well as being a part of a team;
- Behavioural competencies;
- Communicator skills (verbal and written);
- People friendly, but strong personality;
- Excellent time management and sound work ethic.
