The GOLD Peer Education Development Agency is a nonprofit organisation contributing towards measurable outcomes in education, health and youth leadership transformation.

The GOLD Peer Education Development Agency seeks to appoint a Finance and Administration Assistant, based in Rondebosch, Western Cape.

The Finance and Administration Assistant will be responsible for the day-to-day accounting, capturing and processing of figures for the GOLD Group. This will include general office support services for all GOLD offices. It will also involve managing bookkeeping entries, accounting documentation, office inventories, record keeping, file management whilst acting as a support to the GOLD Bookkeeper. Organisational support will involve producing accounting records, coordinating correspondence and monitoring communication inputs from GOLD team members.

The candidate will be authorised, in consultation with the Bookkeeper to make decisions regarding methods of bookkeeping and financial and administrative support. This will be achieved within the context of agreed functional operational plans, budgets, organisational policies and procedures.

Responsibilities:

  • Financial Management support - Bookkeeping
    • Conduct entry-level bookkeeping support and maintain financial functions for the GOLD group:
      • Bookkeeping to trial balance using Pastel;
      • File and update accounting records;
      • Ensure availability of supporting documents on payment vouchers;
      • Manage, process and check for organisational compliance;
      • Maintain a critical payments tracking tool;
      • Reconcile creditor balances before processing payment documentation;
      • Carry-out monthly bank reconciliations for all accounts and creditors;
      • Create and capture stop order vouchers;
      • Capture credit cards transactions;
      • Maintain a petty cash book on an imprest system;
      • Assist with the annual budgeting process in relation to bank charges and general bookkeeping requirements;
      • Perform ad hoc accounting duties as required. 
  • Office Management
    • Ensure that a document registry and filing system is maintained;
    • Manage the communication flow between head office, provincial offices, International offices, GOLD partners and clients;
    • Order office provisions, stationery, cleaning materials, kitchen provisions and maintaining inventories as required;
    • Manage incoming and outgoing telephone calls and maintaining a follow up system of critical messages;
    • Maintain a diary of critical events and dates, managing resource availability in relation to the Board room, various meeting requirements to include the well-being of visitors and the cleanliness of office space;
    • Coordinate necessary repairs and maintenance in liaison with team members and office Landlords.  

Requirements:

  • Office administration skills or the ability to acquire such skills;
  • Communication skills;
  • Cross cultural sensibility and adaptability;
  • Advanced computer skills, including Microsoft Office;
  • Working knowledge of Pastel;
  • Work planning skills;
  • Commitment to community transformation through young people;
  • Fluency in English with a working knowledge of isiXhosa or Afrikaans.
  • Desired Qualifications:
    • Relevant diploma in finance, accounting and administration;
    • Computer literacy including Pastel and Microsoft Excel;
    • English plus one other South African language
    • Experience in bookkeeping;
    • Understanding of project management;
    • Experience in governance administration.
