GOLD Peer Education Development Agency is a nonprofit organisation contributing towards measurable outcomes in education, health and youth leadership transformation.

GOLD Peer Education Development Agency seeks to appoint a Bookkeeper, based in Rondebosch, Western Cape.

The Bookkeeper will be responsible for coordinating the day-to-day bookkeeping processes of GOLD. This will involve managing bookkeeping, payroll administration, financial coordination and administration of Sub-Grants and fixed asset register for the GOLD Group, supporting the Chief Executive Officer, Financial Manager and the Office Manager in planning, monitoring and reporting financial management functions and systems as they relate to organisational support.

The candidate will be authorised, in consultation with Financial Manager to make decisions regarding methods of bookkeeping and financial support. This will be done within the context of agreed and functional operational plans, budgets, organisational policies and procedures.

Responsibilities:

  • Financial Management support - Bookkeeping
    • Conduct general bookkeeping support and maintain financial functions for all GOLD entities within the GOLD group:
      • Check Pastel cash book entries for correctness and sign them off for updating;
      • Approve and processing journals;
      • Load payments to Standard Bank Business Online;
      • Check and reconcile petty cash books for all GOLD offices before sign off for capture;
      • Manage the contracts file and database, flagging due processes to the users;
      • Check and reconcile credit card accounts monthly;
      • Manage the GOLD Suppliers list;
      • Check all reconciliations including bank, creditors, debtors and inter-account funds;
      • Assist the Financial Manager with Payroll input and administration to include timesheets, leave claim monitoring and reimbursements;
      • Certify that payments are valid (and not previously paid) on payment vouchers;
      • Check funder allocations;
      • Invoice customers to include sales costing;
      • Debtor management and follow up on all unpaid invoices;
      • Attend to financial queries or information requests by GOLD team members;
      • Budget monitoring and variances control;
      • Produce monthly management accounts;
      • Assist in audit preparation and schedules;                                                          
      • Maintain and check asset registers and certify periodic inventories;
      • Financial Coordination and administration of Sub-Grants;
      • Manage relationships with organisations implementing GOLD programmes to include the management of sub-grant finances;
      • Administer and deliver day to day financial services to GOLD team members and partners;
      • Prepare, submit and pay statutory returns to inlcude payment of EMP201, NPSA, ZRA and WA.
      • Assist the Financial Manager with the refinement of financial systems and oversight of policy compliance as and when required;
      • Support and coordinate aspects of deposits, debtors and creditors as and when required;
      • Assist the Financial Manager and Office Manager with management of budgets as required;
      • Assist with the annual budget process in relation to bank charges and general bookkeeping requirements;
      • Performing ad hoc accounting duties as required. 
  • Human Resource Management
    • Ensure that a monitoring system for staff annual leave redemption and sickness is maintained liaising with the Human Resource Manager;
    • Provide input to the staff timesheet process as required;
    • Support the time sheet management system, including audit and communication with staff when queries or mistakes occur.

Requirements:

  • Ability to acquire the skills to prepare and manage budgets;
  • Project management skills;
  • Cross cultural sensibility and adaptability;
  • Advanced computer skills, including Microsoft Offfice;
  • Working knowledge of Pastel;
  • Administrative skills;
  • Operational planning skills;
  • Ability to appreciate macro and micro dimensions to financial management controls;
  • Commitment to community transformation through young people;
  • Fluency in English with a working knowledge of isiXhosa or Afrikaans.
  • Desired Qualifications:
    • Relevant degree or diploma in finance, accounting and administration;
    • Computer literacy including Pastel and Microsoft Excel;
    • English plus one other South African language;
    • Experience in bookkeeping and payroll administration;
    • Experience in project management;
    • Experience in governance administration;
    • Willingness to travel on rare occasions either in a team or alone, as required;
    • A valid driver's licence.
