JAM SA seeks to employ an Operation Coordinator to be based in Durban.


Stock Control 45%

  • Oversee receipt and dispatch of all JAMSA stock including related administrative functions, record keeping and secure storage
  • Ensure that all stock movement is recorded and documented accurately and in compliance with the policies and procedures
  • Supervise and check condition of storage areas ensuring that they are clean and dry, fumigated and maintained when needed
  • Work with the operations team to ensure that food is delivered timeously and efficiently
  • Perform stock takes according to policy and confirm physical and theoretical stock on hand matches
  • Complete loss reports where needed
  • Ensure minimum stock levels and reorder of standard items CSS+, waybill books, stock registers, spoons etc
  • Update stock records in CAS
  • Verify records of receipts and dispatches and ensure necessary information is passed to other departments donor relations, finance, and operations
  • Weekly reporting to management of stock levels and movement.
  • Any other tasks as required

 Logistics 25%

  • Ensure that all JAMSA vehicles are maintained and cleaned
  • Coordinate weekly vehicle requests
  • Facilitate all insurance claims and panel beating for vehicles as necessary quotes, authorisations, payment and delivery / collection from service provider
  • Ensure all vehicle documents are kept updated on the Vehicle Master File  
  • Verify log sheets completeness and reasonableness of entries, correct coding and signature by manager                                                   
  • Check Inspections sheets and respond accordingly                                     
  • Ensure licensing and registration documents are all current 
  • Conduct weekly inspections of vehicles                                           
  • Ensure daily vehicle checks are conducted                                                                          
  • Ensure fleet is parked is designated area when not in use
  • Ensure that the fire equipment and first aid kits are maintained        

Operations 25%

  • Assist with deliveries and monitoring duties
  • Act as a representative of JAMSA in the designated ECD centres, communities and with beneficiaries effectively communicating JAMSA programmes
  • Conduct ECD monitoring as required
  • Assist Community Development Officer in networking with other stakeholders including NGOs, FBOs, CBOs and local government officials and community leaders so as to ensure ECD quality and innovation

HR 5%

  • Attend team meeting and devotions
  • Time sheets to be completed and submitted weekly
  • Attend and participate in all compulsory meetings
  • Submit and complete leave forms at least three weeks prior to requested annual leave that is for a period greater than two days ensuring there is a staff member who is available and trained to complete relevant tasks on your behalf while away on leave

Other Duties

  • Monthly reports on time and complete
  • Fleet - maintained per service intervals, licensed, fines paid, Trackers and eTags working, branding correct. Log sheets correct and complete
  • SalesForce - continuous development across all areas except donor management, includes training for users
  • Stock control - all stock accounted for all delivery notes, distributions plans, stocktake sheets and stack cards correctly completed and on file for auditors review for KZN
  • Warehouse - general supervision. Include maintenance, H&S, pest control - monthly report
  • Knowledge, skills and ability
  • Communication and support to all other departments


  • Minimum matric, ideally a relevant tertiary qualification.
  • Minimum three years Administrative Experience
  • Background in stock control / logistics
  • Languages, English is essential
  • Computer literacy Microsoft Office
  • Organisational skills
  • Valid driver’s license
  • Experience with commodities management system
