Purpose of the Job

We are looking for a Finance Administrator to take charge of the Office administration and financial management of our Provincial office by administering accounting operations and practice to meet legal requirements. The purpose of this role is to provide technical financial support, office administration and financial administration for the provincial office, as well as all the projects and programmes in the Province taking into consideration the Financial Management Act and the SCSA Admin and financial policy and procurement policies.
Ultimately, the Finance Administrator will be responsible for the day-to-day management of our financial transactions and Admin procedures.

Key Responsibilities

  • Administer daily cash flow requirement for office & projects (Keep accurate records for all daily transactions)
  • Process invoices, properly referencing, organizing and filling payment vouchers and supporting documents
  • Ensure books are balanced on a weekly basis (income and Expenditure GL)
  • Support programmes in preparation and submission of cash flow projections in line with the approved plans 
  • Submit month end and year end returns to head office in Pretoria 
  • Review monthly Financial monitoring sheet per project to identify budget alignment, e.g. over and under spending, etc.
  • Ensuring adherence to payment protocol & process, including all supporting documents
  • Archiving the financial and grant documents as per retention schedule. 
  • Review and implement organisation financial policies
  • Assist with budget preparation and budget monitoring
  • Participate in financial audits
  • Provide office, project/programmes administrative and logistical support
  • Provide reports and assistance to programmes/project staff on administrative issues
  • Manage office and project assets
  • Provide administrative support for project related procurement
  • Provide secretarial support to the programme/projects including compiling timely minutes of weekly, monthly and other meetings, as required
  • Responsible for logistical arrangements and preparation of the project training
  • Organize and coordinate relevant project training materials as required
  • Act as the point of contact for internal and external clients
  • Liaise with finance officer to handle requests and queries from Programmes/Project team/provincial Manager


  • Computer literacy – (Advanced MS Excel skills, Pastel, SUN, etc.)
  • Solid knowledge of financial and accounting procedures (Knowledge of financial regulations)
  • Must be able to work under pressure
  • Project management skills
  • Excellent analytical and numerical skills
  • Sharp time management skills (Must be able to meet deadlines)
  • Strong ethics, with an ability to manage confidential data

Qualifications and Experience

  • Must have passed Grade 12
  • Minimum Diploma in Accountancy or Equivalent financial management qualification
  • Proven 2 - 3 years’ work experience as a Finance Officer or similar role experience (experience working in NGO will be an added advantage)
