INMED seeks to appoint a Administration Assistant to be based in Johannesburg.

Salary: R 7000

Report to: Operations Manager

Duration: Fixed term Contract (18months)


  • Provide general administrative and clerical support including filing, mailing, scanning, and making photocopies
  • Answer switchboard general enquiries and direct specific enquiries to appropriate staff members
  • Greet clients, suppliers, couriers, visitors of the organisation in a professional and friendly manner, assist with teas, stock deliveries, assembling brochures and documents for meetings etc
  • Maintain electronic and hard copy filing system for the organisation as well as capture invoices and staff claims
  • Ensure all invoicing is provided to the accountant by deadlines
  • Schedule and coordinate meetings, appointments and travel arrangements for Managers
  • Maintain office supplies for the organisation, provide secretarial, administrative support to the operations manager and arrange refreshments for meetings and visitors
  • Assist with coordination of special events including fun days and programme launches
  • Assist Programme Directors with training events, typing and any additional requests
  • Maintain office kitchen in a clean organised manner and order supplies before they run out
  • Maintain and update staff list and documentation monthly
  • Assist with HR files
  • Assist Operations Manager with sourcing supplies in rural areas
  • Liaise with in field staff on behalf of managers and programme facilitators
  • Assist with event coordination and keeping a detailed project spend on each event


  • Bachelor’s Degree/Diploma (M+ minimum three years’ work experience)
  • Must be detailed oriented, organised and accurate
  • Strong administrative skills and an ability to juggle multiple tasks with accuracy
  • Written and verbal communication skills needed, specifically in English
  • Computer literacy is essential (Word, Excel, and Power Point). A test will be given on interview
  • The ability to follow instructions exactly is important but so is the ability to think for yourself
  • Ability to work effectively with teams of diverse backgrounds
  • Must be available to work on weekends when required
  • Valid South African Driver’s license will be an added advantage as will owning a car
