Mould Empower Serve (MES) is a Christian organisation giving services to the community.

MES seeks to appoint a Personal Assistant -Finance to be based in Johannesburg.

Salary: R11 000 to R13 000 depending on experience and qualifications

The purpose of this position is to ensure the effective administration functioning of MES management support functions through assisting with day to day administrative functions and providing appropriate support to the National Finance Manager.
 
Responsibilities:

Administrative duties

  • Phone and liase with donors about donations made 
  • Do 18A Certificates for donors on a monthly basis and at each end of financial year
  • Assist with Debit Order Administration on a monthly basis
  • Liaise with suppliers to obtain quotations and ensure procurement is done according to policy
  • Receive and prepare for visitors when required
  • Assist with the bookkeeping systems at MES 
  • Take messages if necessary and forward these as appropriate
  • Ensure that all queries are dealt with and followed through
  • Assist with compiling and distribution of monthly reports
  • Assist with organising special events, workshops and campaigns
  • Act as secretary at monthly staff meetings and Audit  and Risk meetings
  • To be helpful when any other general assistance is required with any office tasks
  • Ensure the correct bookkeeping procedures and policies are kept and updated
  • Work within the given budget and assist to draw up new budgets of financial statements
  • Sort out municipal accounts with accounts with the City of Johannesburg
  • Maintain a leave schedule on a monthly basis of the financial team

Support and assistance to the national Finance Manager

  • Schedule and prepare for necessary meetings monthly
  • Maintain and manage the Finance Managers diary 
  • Ensure all documents are kept in a safe and secure environment
  • Ensure all relevant correspondence is send off
  • Ensure all filing is done and up to date
  • Maintain all relevant information on database
  • Develop and maintain a contacts database of the various cities
  • Assist with preparing documents for audit purposes
  • Once Audit is done and signed, scan the audit documents and save in the cloud
  • Send soft copy of signed Audit Statements to Fundraising and Marketing department as well as to the relevant branches concerning their audits
