Purpose of the Position: 
The purpose of this position is to provide admin and logistic support to the Programmes Manager, the programmes team and CCP team. This position reports to the Programmes Manager with a dotted line report into the CCP Coordinator.
 
Responsibilities:
 
Administrative & Logistic Support

  • Create and manage central depository for programmes related documents and templates
  • Assist by directing programmes staff to central depository for requested information, documents, templates, processes and tools
  • Assist the Programmes Manager in preparing documents required for Board and sub-com meetings
  • Undertake investigative and research based work as per the programme needs
  • Order and distribute learning materials and others (such as stationary, office equipment etc.)
  • Schedule programme meetings and take minutes
  • Collect, review and file all meeting minutes
  • Manage the Programme Managers diary which includes; working closely with the Admin team to book flights, accommodation and car hire
  • Assist CCP team to arrange meetings and send out confirmations of such meetings
  • Provide support to the CCP team by;
  • Arranging, scheduling and confirming CCP training and events
  • Sending out invitations
  • Prepare agenda’s
  • Participate in training and/or events as and when needed
  • Attending to catering needs for all CCP events and/or training
  • Provide admin support to the CCP team by;
  • Conducting desktop research
  • Sourcing information
  • Creating templates, tools and documents

Managing Database Input & Data Capturing

  • Verify information added to the database from branches
  • Follow up with branches on deadlines for reports and data entries
  • Input and maintain CCP data on Salesforce
  • Update and maintain the CCP excel M&E tracking sheet
  • Keep track of M&E deadlines and ensure that partners are aware
  • Follow-up with partners for timeous submission of M&E reports/templates

Finance

  • Consolidate monthly expenses, capture receipts and invoices for the Programmes Manager and CCP team
  • Scan receipts and save to IY Online System

Qualifications & Experience:

  • Matric Certificate
  • 1-2 years’ experience in administration or related field
  • Experience as personal assistant would be advantageous
  • Experience in working on salesforce would be advantageous
  • Experience in providing logistical support to a number of stakeholders simultaneously
