The Children’s Hospital Trust was founded in 1994 as the independent Fundraising Arm of the Red Cross War Memorial Children’s Hospital when the Hospital was threatened with closure due to lack of funding. Since its inception the Trust has supported the Hospital through upgrading its buildings, purchasing vital equipment and funding critical training and research programmes.

The Trust seeks to appoint a Receptionist, based in Cape Town.

Responsibilities:

Front desk and Receptionist Support

  • Greet and assist all visitors to the Trust in a professional and courteous manner
  • Ensure that the visitor’s book is signed when visitors enter and leave the premises
  • Offer refreshments to visitors
  • Answer all incoming telephone calls timeously and professionally, direct calls, take and relay messages accurately
  • Keep an updated list of internal telephone extensions
  • Arrange hospital tours as and when requested
  • Making sure that the telephone system is working and there are no problems with the line
  • Manage all meeting room bookings
  • Travel arrangements e.g. patient, nurse and doctor flights
  • Manage Steiner orders
  • Courier services
  • Office shopping through PnPay

Stationery

  • Monitor, update and reconcile stationery supplies and maintain a stationery stock list
  • Inform staff of receipt of requested stationery and follow correct procedure of issuing stationery

General Office Management

  • Receive, sort and distribute mail, ensuring that all incoming and outgoing mail is recorded appropriately
  • Provide general administrative duties and clerical support as and when required e.g. tax certificates
  • Arrange cleaning of carpets, pest control and any ad hoc repairs

Requirements:

  • Matric and/or equivalent
  • Post matric course in General Office, Reception or Administration preferred
  • Fluent in both English and Afrikaans. A 3rd Language an advantage
  • At least two years’ reception experience
  • Written and verbal communication skills
  • Interpersonal skills
  • Customer Service experience
  • Attention to detail is essential
  • Ability to express themselves in a confident and articulate manner
  • A team player
  • Vibrant, bubbly and energetic
