The Initiative for Strategic Litigation in Africa (ISLA) is based on the belief that strategic litigation is an immensely strong tool for social change because it helps to reframe the understanding of entitlements before the law and it challenges the legal discourse on women’s rights and sexual rights. ISLA stands for the proposition that investment in local institutions and individuals is key to maximising the impact of strategic litigation.

ISLA seeks to appoint a Programme Associate, based in Johannesburg.

The Programme Associate is responsible for providing administrative, operational and programmatic support services to the programme coordinator. The candidate will be knowledgeable about institutional and programme policies and procedures. This position requires some travel in the African region. The position is an entry level job.

This position offers a competitive salary (total cost to company, and commensurate with experience).

Responsibilities:

Administration

  • Supporting the work of the executive director including management of diary and schedule
  • Providing admin and logistical support to programmes
  • Supporting the work of the board of trustees

Communication

  • Updating social media and communications platforms (Facebook, Twitter and website)
  • Photography
  • Assisting in the preparation of regularly scheduled reports
  • Making necessary additions to the list serve

Events/Logistic

  • Researching venues, suppliers and contractors
  • Negotiating prices and hire
  • Assisting in managing and coordinating suppliers and all event logistics

Governance Support

  • Supporting the work of the board of trustees
  • Planning board meetings and taking detailed minutes of the board
  • Coordinating the compilation of board documents
  • Supporting the ED to implement and follow up on board resolutions

Internal and External Meetings

  • Planning meetings, managing agendas, and taking detailed minutes
  • Monitoring and maintaining meeting checklists
  • Engaging in email and telephonic communication until participation (of either faculty member or participant) has been confirmed
  • Drafting letters of invitation and visa letters
  • Compiling meeting materials – bios, research, etc.
  • Accompanying participants and faculty members on field trips
  • Acting as a point of contact with regards to the substantive aspects of the event during the activity
  • Sending follow up communication and thank you letters post event

Travel arrangement

  • Making flights and accommodation bookings
  • Preparing travel documents and files
  • Assisting in operationalising ISLA travel policy

General Activities

  • Writing and distributing email and other correspondence
  • Developing and maintaining a filing system
  • Tracking stocks of office supplies and placing orders when necessary
  • Providing general support to visitors
  • Assisting colleagues whenever necessary
  • Finance
  • Submitting and reconciling expense reports

Requirements:

  • Fluency in English (Read, write and verbal communication)
  • Matric
  • Well organised
  • Writing skills,
  • Familiarity with operating social media platforms
  • Attention to detail
  • Planning and organising skills
  • Written verbal and communication skills
  • Advanced computer literacy
  • Ability to work independently, under pressure, and within a team
  • Great levels of personal accountability and responsibility
  • Advanced MS Office skills
  • Strong administrative, leadership, relationship management and communication skills
  • Highly flexible and able to work in a demanding environment
  • Problem-solving capabilities
  • A high work ethic
  • Relevant certification/ diploma / qualification (travel and tourism/administration)
  • Experience in Travel Coordination
