Thembalethu Development is a nonprofit organisation founded in April 2002 with the aim of becoming the socio-economic development agency of choice for the mining industry, government, corporate, private sector and international donors.

Thembalethu Development seeks to appoint a Provincial Programmes Coordinator, based in Kimberly.

The successful candidate will work in the Northern Cape and will provide support to the organisation’s portfolio of programmes and projects and the Programmes Manager to ensure that programmes/projects are delivered on time, within budget and are achieving the intended results. 

This is a contact position till April 2017 (Renewable)

Responsibilities:

  • Assist Programmes Manager in provincial administrative functions of programmes and project-related assignments including overall planning, implementation, monitoring, evaluation and reporting on programmes and projects
  • Support gradual establishment of a Provincial Office responsible for the management of all Thembalethu Development projects
  • Establish and meet programme and project objectives
  • Track programmes and project progress, recording and interpreting results
  • Assist Programmes Manager in the identification, appointment and management of programme and project-related service providers
  • Organise monthly and quarterly provincial programme and project meetings in consultation with the Programmes Manager
  • Develop and circulate the agenda for provincial meetings in consultation with the programmes manager
  • Attend meetings, take minutes and circulate to all concerned
  • Maintain a register of all projects and persons involved, check regularly that it is complete and that new projects are registered and removed as required
  • Update the Programmes Manager of weekly and monthly priorities
  • Consolidate and submit provincial monthly programmes and projects reports
  • Coordinate key monthly report reminders, follow-up on submissions, consolidate draft reports for Programmes Manager’s review
  • Provide advice and answer queries from programme, project staff and stakeholders
  • Assist with development and implementation of project management system
  • Assist with implementation of project management processes to ensure project resources are effectively allocated
  • Ensure projects meet defined quality assurance checkpoints, deadlines, statuses are regularly and effectively communicated and improved client service is realised through enhanced project success
  • Ensure adoption, publication and use of formal project management practices across all projects
  • Provide support to drive implementation of project management practices
  • Monitor and report programme and projects as per the monitoring framework and review projects for progress vs plan
  • Coordinate and schedule internal and external project monitoring and auditing visits
  • Assist with preparation of project progress and financial reports
  • Support Programmes Manager and Project Managers in all efforts to reach targets and deliver on strategic goals/performance agreements
  • Grants Management
    • Coordinate, prepare and submit projects grants applications, including budgets, completion of certifications, compile all materials, ensure compliance with all requirements, communicating with grants officials regarding questions or problems
    • Monitor project reporting by verify quarterly financial reports, prepare summary spreadsheets and authorise payments
    • Research grant opportunities for Thembalethu Development in the province
    • Ensure compliance with the rules and regulations administered by the funder/s
    • Oversee special audits conducted by funder/s
    • Monitor interventions of funded projects to ensure compliance with funders’ guidelines
    • Liaise between Thembalethu Development and funders in the Northern Cape
  • Client/Public Relations
    • Assist Programmes Manager and Stakeholder Engagement Manager with stakeholder liaison activities
    • Keep clients and stakeholder register, updated and ensure availability at all times including functions and names of their officials

Requirements:

  • Relevant tertiary qualification in Project Management, Human Resources Management and/or Administration
  • Five years’ experience in project management/project administration role in a highly pressurised environment requiring tact, judgment and discretion in handling internal and external contacts
  • Experience of successfully working with senior management, field and project staff
  • Driver’s license and own reliable vehicle
  • Strong organisational and administrative skills
  • Ability to perform and prioritise multiple tasks and effectively maintain systems
  • Ability to work both independently and collaboratively, works effectively within a variety of situations, individuals and groups
  • Excellent interpersonal and communication (oral and written) skills
  • Strong command of Microsoft Office suite, Internet browsers, databases
  • Ability to exercise discretion in dealing with confidential or sensitive matters
  • Excellent organisational, office management, Project administration and IT skills
  • Adaptability, flexible and mature approach with ability to work unsupervised
  • Keen fast learner, ability to prioritise and manage own time
  • Meticulous, detail-orientated, responsible
  • Self-motivated, enthusiastic and results driven
  • Culturally sensitive and a friendly open personality
  • Willing to take personal responsibility for results and actions
  • Calm under pressure, quick thinking
  • Ability to take over all duties in the Programmes Manager’ absence
