Job Role

Responsible for managing the long term and operational  financial planning and reporting for the Federation and the International Secretariat, including  aggregated financial reports for the organisation on a quarterly and annual basis and for the review of these reports.

Responsibilities include:

  • Developing long term and operational financial planning processes,
  • Delivering regular reports to stakeholders (monthly, quarterly, annual) for the Federation, IS and Functions,
  • Leads the Annual aggregation reporting process,
  • Liaises with external audit and countries to ensure delivery within strategy and timelines,
  • Monitors developments in technical accounting (including IFRS for SMEs), assessing impact on Federation and IS, and manages implementation of changes,
  • Develop and improve reports, systems and tools for delivery of core responsibilities; including Capacity building for finance and non-finance around planning and reporting,

Benchmarking – working with other Functions, other INGO’s on benchmarking initiatives.       

Key Activities and Areas of Responsibilities

  • Developing long term and operational financial planning processes
    • Working with Planning, develop appropriate instructions, guidelines and tools for long term planning for inclusion in the Strategic Implementation plan; and short term planning for both 1 year operational and 3 year plans for the Federation and the International Secretariat;
    • Review plan data from all entities and review variances and performance as appropriate.
    • Compile information and produce aggregated financial plans and budgets.
    • Assist in identifying and implementing improvements to the 3-year planning process
    • Liaise with the Fundraising, Planning, Accountabilty and Programme teams in designing relevant guidelines and templates to compile relevant information.
    • Develop any reports needed to track the performance of the budgeted key drivers and indicators.
    • Undertaking any ad hoc projects as directed by the International Head of Finance.
  • Delivering regular reports to stakeholders (monthly, quarterly, annual) for the Federation, IS and Functions
    • Working with Finance colleagues to identify data collection and financial analysis for the preparation of regular and timely reports for management, governance (Finance & Funding Committee and International Board) and decision making groups.
    • Produce timely regular financial organisation-wide information to International Fundraising, Programmes and other functions as required.
    • Deliver monthly budget holder information for the International Secretariat, and quarterly Management Accounts for the Secretariat, including meaningful analysis on performance and Reserves position.
    • Working with IS colleagues to support Benchmarking through NGO networks and own identified requirements, collection and analysis of key information, to support initiatives and projects.
  • Leads the Annual aggregation reporting process
    • Liaises with external audit and countries to plan and coordinate the annual aggregation and audit process to ensure delivery within strategy and timelines;
    • Delivers year end aggregation and audit process through planning and coordination, excellent communication and quality analysis within timelines and budget,
    • Working with Finance & Internal Audit colleagues, prepares and actively follows up the audit report and management letter items for reporting to the Audit & Risk Committee.
  • Monitors developments in technical accounting (including IFRS for SMEs), assessing impact on Federation and IS, and manages implementation of changes
    • Ensures relevant financial policies and procedures are maintained and documentation kept up to date (including Financial Management Framework);
    • Responsible for providing guidance on technical accounting issues to meet AAI and international reporting standards.
    • Maintain and strengthen internal controls over financial reporting.
    • Proactively seek to improve AAI’s accounting and reporting processes.

  • Work with Finance, IT and other stakeholders on developing/improving reports, systems and tools for delivery of core responsibilities

    • Lead and manage the process for compilation of  financial data for the organisation held on TM1 or otherwise
    • Design appropriate reports (using TM1 where appropriate) to meet key reporting requirements, user requirements and improve existing reports
    • Project co-lead (with Planning) on developing integrated reporting to meet technical standard development and multiple donor accountabilities
  • TM1 systems maintenance
    • Ensure that the TM1 system is regularly maintained.
    • Ensure data integrity of data held on TM1.
    • In liaison with IT and the Financial systems team , lead the development and upgrade of of TM1 or other financial systems(in case of a change).
  • People Management
    • Recruiting staff in line with AAI HR policies.
    • Conducting probationary reviews with staff and annual performance reviews (performance management) to support staff development.
    • Building and motivating teams and managing effectively from a distance.
    • Monitors the team’s performance against the agreed organisational standards and facilitates resolution of obstacles.
    • Supports both the professional and personal development of the staff ensuring they are able to be proactive on all matters thus maximising and integrating the effectiveness of the service they provide to fulfill organisation goals and plans.
    • Fosters the necessary consultation, communications and good relations within the wider Finance community including staff of member organisations.

Person Specification

Education, Language & Qualifications

B.Com Degree or Honors Degree and professional accounting qualification

Essential Knowledge, skills and Experience

  • At least 6-8 years accounting experience of finance department management, including financial planning and reporting
  • Experience of working in an international environment
  • Strong analytical and management skills, with track record in management and motivation of staff
  • Strong influencing skills – able to positively build peer working relationships and be effective without having to rely on authority
  • Able to demonstrate excellent communication and influencing skills.  Fluent spoken and written English.
