SUPPORT SERVICES ADMINISTRATOR

Fixed-term contract until 28 February 2017

ELRU seeks to appoint a Support Services Administrator in their Lansdowne based office in Cape Town. Reporting to the Administrative Officer, the Support Services Administrator will provide effective administration support related to finance and operations.

Responsibilities:

  • Assist with administering the annual organizational budget by monitoring actual expenditure vs approved budget and drafting monthly variance reports for various programmes
  • Bank money, process cheques, maintain petty cash and an asset register
  • Process quotes and orders, capture payments, invoices and other financial information on the accounting system
  • Assist with administering a workflow management system and maintain a central online and hardcopy filing system
  • Reconcile monthly vehicle mileage and ensure vehicles are well maintained, have the required amount of fuel, are licensed and serviced
  • Act as First Aid Representative and maintain the first aid kit supplies
  • Administer workman’s compensation and insurance related claims
  • Co-ordinate the resolution of IT related queries including logging IT tickets with service provider and troubleshoot problems with  photocopy  machine
  • Contact service providers for minor repairs and maintenance duties
  • Keep track of service provider visits to ensure service delivery i.e. Garden Services, facilities, paper recycling, hygiene and pest control servicing company
  • Ensure that post is collected weekly at the P.O. Box and distributed in a timely manner
  • Oversee incoming and outgoing stock,  equipment  and inventory, conduct stock takes, produce monthly stock reports
  • Ensure that the office and telephones are open to callers between 08h30 and 16h30 Monday to Friday, answer switchboard calls, take and relay  accurate messages 
  • Print out, collate, and distribute monthly telephone usage reports
  • Act as the official face that welcomes visitors  and assist with walk-in book sales
  • Ensure that visitors sign the visitors register and  gain secure and safe access to ELRU
  • Maintain the movements of staff using the notice board and via email
  • Receive and distribute faxes and troubleshoot  fax machine problems
  • Perform driving function locally when required

Requirements:

  • A post matric qualification in Finance, Accounting, Internal Auditing or equivalent
  • A valid code 8 driver’s licence with the ability and willingness to travel
  • Relevant working experience in bookkeeping, payroll or financial administration is an added advantage
  • Practical working knowledge of VIP, QuickBooks and Pastel is favourable
  • Computer skills in MS Word, Excel, MS Outlook and Internet
  • Pleasant, tactful and approachable personality coupled with the good verbal and written communication skills in English
  • Honesty, integrity, ability to maintain confidentiality
  • Analytical ability to analyse information and compare data from different sources
  • Sound judgement and problem solving ability
  • Advanced numeracy, accuracy and attention to detail
  • Strong time management and effective organisational skills
  • Ability to  work under pressure and ambiguity and achieve work deadlines in an environment of competing priorities
