ADMINISTRATIVE OFFICER: OFFICE OF THE DIRECTOR
 
All-inclusive salary package negotiable on experience

 
ELRU seeks to appoint an Administrative Officer in their Lansdowne based office in Cape Town. Reporting to the Director, the Administrative Officer will provide executive secretarial and administrative support to ensure operational efficiency in the Office of the Director.
 
Responsibilities:

  • Diary management including scheduling and confirming meetings, arranging logistics, and preparing all relevant materials for Board, AGM and other Director-generated meetings
  • Maintain a dashboard of deliveries emerging from all director-generated meetings and track and follow up on set targets
  • Screen and redirect calls/queries to assist the Director with maintaining smooth and timely contact with staff and stakeholders
  • Assist with composing and submitting grant proposals to funders and prepare cover letters for approved narrative and financial progress reports to funders and ensure timely delivery
  • Administer the shared organisational diary, reporting process and follow up funder reporting requirements with relevant staff
  • Collect input from various role-players and consolidate monthly, quarterly and annual reports
  • Assist with various external communication and public relations on behalf of the Director
  • Maintain online information on the organisation’s website and social media platforms
  • Administer incoming and outgoing mail and correspondence for the Office of the Director
  • Maintain an up-to-date leave register for the Office of the Director and ensure leave forms are timeously completed, filed and submitted for action
  • Typing and filing of documents including proposals, grant agreements, progress reports, financial reports, funder-related correspondence and directors presentations both in hard and soft copy    
  • Process payments for services/products procured for organisation-wide activities lead by the Director’s office
  • Perform driving duties for the Office of the Director
  • Control the office stationery ordering and stock control process
  • Arrange travel and accommodation logistics within budget
  • Supervision of staff
  • Assist with any further reasonable request.

Qualifications and Experience:

  • Matric
  • A certificate/diploma in Office Administration, Secretarial Studies, Communication, Marketing or Public Relations or similar would be an added advantage;
  • A valid Code 8  Driver’s License,
  • Extensive previous administration and secretarial experience;
  • Experience within an NGO and/or the education environment would be beneficial
  • Computer Literate in MS Office Suite (Word, Excel, PowerPoint), Internet and Email with demonstrated proficiency in typing;
  • Excellent written and verbal communications skills in English including consistent correct use of tense, grammar and spelling, coupled with strong proof-reading skills to produce error-free documents;
  • Ability to ask appropriate questions, probe for understanding, and work in collaboration with others to achieve desired results;
  • Confidence to engage with individuals at all levels within the organization and at community level;
  • Ability to work alone, take initiative and manage multiple tasks in a dynamic, deadline-driven environment;
  • Ability and willingness to travel;
  • Ability to maintain confidentiality in all matters and represent the Director’s office and ELRU with integrity and diplomacy.
